Organising a group trip
Organising a group trip can be a daunting experience no matter how many people you are planning to take away. There are many things you will need to know as you progress and at STA Travel we like to make the process as easy and hassle free as possible.
To help, we've put together a step-by-step guide to give you an idea of all the information you'll need.
Step 1
On your first enquiry to STA Travel we will need to know:
• How many people in your group
• Rough idea of dates
• Destination - although this is not essential if you are in the very initial stages and looking for inspiration.
• Budget per person
• Knowing your reason for your trip can also help us suggest relevant products based on your needs.
We can be flexible in how we price your travel quote. If you would like to include a free place for Group Travel Organiser/Group Leader or Teacher, we are happy to do so, please ask your Group Travel Consultant for more information.
Step 2
We will provide you with a quotation based on your requirements. We endeavour to get back to you within 24 hours after your enquiry although some airlines may take slightly longer to respond to our request.
Your quote will include:
• Flight itinerary
• Price per person
• Price per Group
• Insurance/Accommodation/Transfer quote if required
• Deposit required
• Deposit date
• Full payment requirement.
Step 3
Once you have decided on a flight option we will require either full payment or a deposit. We will send you an invoice to advice this, along with terms and conditions of flights.
Step 4
If you have paid a deposit, we will usually require full payment with 60/45/30 days depending on the airline, this will be advised to you on the invoice.

The major benefit of booking groups is that we don’t need to know all of the names for the group until the full payment date, which offers you flexibility if there are any changes.
Once full payment has been made, name changes are not allowed and if required a new ticket will need to be purchased.
Step 5
Full payment and final names list required. We will send you a template for all passenger details.
You will be sent a final receipt and itinerary for your trip.
